Running an online bookstore means dealing with data everywhere: inventory records, product descriptions, sales dashboards, and customer details. But keeping this data consistent takes countless hours of manual work. CRMs and CMS platforms demand endless input, and dashboards often fall short of delivering real insights.
The goal was to design an AI data management tool for bookstore data: a system that could handle repetitive tasks like data entry and even generate descriptions and dashboards, making complex analytics accessible to non-technical staff.

Writing product descriptions for hundreds of books is time-consuming and inconsistent. Tone varies, details get missed, and external tools are often needed. With conversational AI, users can now generate descriptions inside the system, without relying on external writing tools.
error prompts: if a key field (like book title) is missing, the system highlights it before generating.
inline AI writing: within the description column, users can select “Write for me” or create based on an example;
tone & length control: users can adjust messaging style to fit categories (e.g., professional, curious, emotional);
AI-assisted calculations
Working with complex formulas often excluded non-technical staff and left room for human error.
My solution: natural language calculations powered by AI. Instead of memorizing formulas, users simply describe what they need in plain words (e.g., “Calculate product performance index”), and the system generates the correct formula instantly:
inline integration: results are inserted into the relevant table column, so users can immediately see the output in context.
formula preview: the AI displays the generated formula and an explanation of how it works;
AI-driven dashboards
Dashboards are often either too complex for non-technical users or too shallow to provide real value. The challenge was to make visualization both conversational and actionable. This AI-driven dashboard builder turns plain requests into clear visualizations and explanations:
guided exploration: the assistant suggests follow-ups and generates new views.
natural prompts: users type instructions like “Create a dashboard with revenue, retention rate, and leads by source;”
smart layout generation: the system selects the most suitable chart types and assembles widgets automatically;
inline analysis: each chart comes with a short AI-generated explanation highlighting trends and correlations;

Overview
I had already been working with this client on another UX design project, and the CIO approached me, asking if I could assist with the product discovery for a new solution they intended to launch quickly. Soon our collaboration turned into a full user experience design for the product.
The solution was in the real estate domain, for brokerage and real estate agencies all over the world. It contained three cornerstone blocks of the system: management of property listings, management of leads and clients, and website builder for quick and easy creation of personalized webpages. It was part of a larger product environment, which shared the same data sources. A solution of this kind is unique, though there are indirect competitors that cover certain features.

When designing this SaaS solution I aimed to make it functional and powerful, but keep user experience seamless, simple and straight forward.
Sing up
Real-estate market players are represented by different types of entities: from huge organisations to smaller agencies, teams of agents or individual agents. Org structures are usually very complicated with multiple levels of offices and sub-offices. And each entity can join the platform as part of bigger organisation or independently. This is what I had to consider while designing, as a rule simple, flow of the account registration. Flow was adjusted for different types of accounts and impacted by validation if account is a part of existing organisation.
Builder “Advanced mode”
Website builder was one of the core features of the product which allowed creating personalised pages to post property listings but also serve as a gateway to collect leads for CRM platform. There are many website builders on the market, so I conducted my research to study the best patterns used in this domain. However, the builder that I designed possessed unique level of control by the administrator
company’s network. As a rule companies have defined branding requirements, which should be followed by all agents belonging to the network. This is why the platform allowed creating company-wide templates for different organisation levels, manage customisable components and force down standard branding requirements to all websites in the chain.
Property listings tracking
A user’s property listings inventory feeds from many sources and is displayed on multiple websites. It is important for a real estate agent to track their performance across these different venues at glance. I figured out how to keep the balance and display listing information completeness level, and performance information on a listing card while making sure it did not become over-cluttered.
Project discovery phase
The discovery stage of the project began by exploring the functionality of the existing legacy system, and business requirements about the new capabilities of the product. Based on these discoveries, I defined the scope in the form of information architecture, clarified types of users with their accesses, and produced user flows for main scenarios.

Process
I was very pleased to win this project because this topic felt close to us. There were already many apps and websites with such goals, which allowed me to understand the problem more. I searched for Inspiration, did a competitors’ review and of the other products with the same functionality. Basically, I conducted a study in the area, of what solutions work and what don’t.
Also, I created a User Journey Map which helped me put myself in the user’s shoes and describe their experience. I identified the main groups of users (user personas) and then determined what questions they ask at each stage of interaction with the app.
Wireframes
I started with discussing the main concept and complexities of the future application. My main task was to arrange a large number of products with information about them on one screen so that the user could easily find what they need without scrolling. Also, there had to be an easy way to place or cancel an order, replace the product and track the order.
I decided that the best solution would be to divide all products into categories and show up to 3 products from each category with the ability to increase this list. I also had to determine what information about the store will be shown in the app. I have decided to show a store name, a logo, work time and delivery time.
